The Toronto Pan Am Sports Centre is undertaking a comprehensive modernization of its Audio/Visual (A/V) systems to transform its sport and entertainment facility into a technologically advanced, future-ready facility that meets and exceeds global standards for live event production, facility communication, and immersive user experience.
This Request for Proposals (RFP) invites qualified and experienced A/V Solutions provider and Technical Service Integration Companies to submit proposals to lead the planning, design, and implementation of a facility-wide A/V modernization and upgrades strategy. The scope includes all major activity zones in the facility such as the large Aquatic Centre, Field House, Fitness Centre, Studios, Meeting Rooms, Boardrooms and extends to all public areas, event production,
and digital signage systems.
This project represents a critical investment in the future of the facility and its ability to serve elite sport, high-performance training, community engagement, and international event hosting at the highest levels of excellence. Proponents are expected to bring forward innovative, scalable, and sustainable A/V solutions that meet the demands of 2025 and beyond.
To truly transform this venue into an engaging and immersive environment, it is imperative that we provide the best possible AV experience to all stakeholders, partners, athletes, visitors, and the community at large ensuring TPASC remains a leader in sports, recreation, and innovation.

3.0 Instructions to Proponents
3.1 Process of Submissions
The Proponents should submit the Submission electronically in a pdf file format. Multiple files can be compressed in the Zip Folder which must be received by the Corporation by email at:
kpittman@tpasc.ca.
Confirmation of receipt of email will be issued. Submissions that cannot be opened or viewed may be rejected. A Proponent bears all risk that the corporation’s receiving computer equipment functions properly so that the corporation receives the Submission.
Note: The maximum file size the Corporation can receive is 25mb. If sending large email
attachments, Proponents should reach out to kpittman@tpasc.ca for confirmation of receipt.

3.2 List of required documents
Technical documents
1) Signed copies of the RFP and any addendum thereof.
2) Letter of Incorporation (proof of the area of establishment).
3) Company profile and portfolio.
4) Insurance & Health and safety certificate.
5) Three business case studies with references.
6) Financial statements of past three years (proof of financial stability and working capital
strength to pursue this project).
7) Self-declared signed appendix forms.
Conceptual documents
1) Gap Analysis of the current AV infrastructure.
2) Solutions and systems proposed with brand names of equipment, specification and
functional explanation.
3) Project execution plan with timelines.
4) Post Installation Service plan.
5) Training plan.
6) Dedicated resources deployment plan.

7) Sustainability plan.
8) Any value added or unique approaches.
